Our approach to your data
At Khiri Vietnam, we believe in straight talk about Asian trade. That includes being clear about how we handle your personal information. We are a small consulting team based in Manchester at 45 Silk Mill Street. We help UK firms move goods into markets like Vietnam and Thailand. We are not here to trade your data or sell lists to third parties. We are here to audit your supply chains and fix your paperwork. This policy explains what we collect and why we do it. No fluff, just the facts you need to know. We follow the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
The information we collect
We only collect the details we actually need to help your business. When you fill out a form on our site to book a 20-minute discovery call, we ask for your name, your work email, and your company name. We also ask what you ship and where you are getting stuck. This helps us prepare for our first chat. If you decide to move forward with a project, such as a logistics audit or a partner search, we will collect more specific business data. This might include your current shipping routes, HS codes for your tools or textiles, and copies of your customs invoices. We don't collect personal credit card numbers on this site; all project fees are handled via bank transfer after we send a fixed-price estimate.
How we use your details
We use your information to provide the consulting services you requested. Honestly, most of our work involves looking at your shipping data to find where you are overpaying for freight. We use your contact details to send you the 12-page roadmaps or the vetted shortlists of factory partners. Occasionally, we might send an email with notes on freight rates or new warehouse laws in Ho Chi Minh City if we think it affects your specific industry. We don't send daily marketing blasts. If you don't want these updates, you can tell us to stop at any time. We also use basic website data to see which of our blog posts are being read. For example, if many people read our guide on Vietnamese factory contracts, we know to write more about legal compliance.
Website cookies and tracking
Like most websites, we use cookies. These are small text files that sit on your computer. They help our site load faster and make the experience better for you. We use some cookies to see how many people visit our services page and which regions they are from. This is mostly so we can see if our local support in the North is reaching the right firms. We don't use cookies to track you across the whole internet or to show you annoying ads on other sites. You can go into your browser settings and turn off cookies whenever you like. The site will still work fine for you without them, though it might be a tiny bit slower.
Working with third parties
We are a small team of 3, so we use some external tools to run Khiri Vietnam. Your data might be stored on our secure email server or in a cloud storage system where we keep our project files. These providers are well-known and follow high security standards. We do not sell, rent, or trade your personal information to other companies for their marketing. If we are doing a partner search for you in Bangkok, we might share your basic company requirements with potential distributors. However, we only share what is necessary to get the job done and only after we have discussed it with you during a working session. We handle the paperwork so your data doesn't end up in the wrong hands.
International data transfers
Because we focus on markets like Vietnam and Thailand, some of our work happens outside the UK. Gareth or Alistair might access project files while they are visiting factories in Asia. When this happens, we use secure connections to ensure your data stays protected under UK standards. We make sure that any local partners we work with in Asia understand that your data is private. We treat your shipping routes and partner shortlists as strictly confidential. We have delivered 47 projects since 2019 and have never had a data leak because we keep our systems simple and our access restricted.
How long we keep your data
We don't hold onto your information forever. If you just send us a message but don't book a project, we usually clear out your details after 11 months. If you are one of our active clients, we keep your records for the length of our engagement. After the final handover of your market entry roadmap or audit report, we keep a record of the work for 6 years to comply with UK tax and legal rules. This also helps if you come back to us two years later wanting to update your shipping routes. If you want us to delete your contact details sooner, just send an email to our office in Manchester and we will handle it within 4 business hours.
Your legal rights
You have rights over your data and we respect them. You can ask us for a copy of the information we have about you. You can also ask us to fix any mistakes in your records. For example, if you change your work email, just let us know. You have the right to ask us to delete your data or to stop using it for certain tasks. Since we focus on fixed project fees and clear outcomes, we are happy to be transparent about what we have on file. If you have a concern about how we handled your data, please talk to us first. We will do our best to fix it. If you are still not happy, you can contact the Information Commissioner's Office (ICO) in the UK.
Security and protection
We take the security of your trade data seriously. We use encrypted connections and keep our software updated. While no website is 99.3% immune to risks, we use standard, reliable tools to protect our site. We don't store sensitive financial data like passwords or credit card numbers on our web server. Access to our client files is limited to our 3 team members. We are a small firm, not a giant corporation, so we know exactly who has access to every folder. This hands-on approach keeps things secure and straightforward.
